Who we are

Kent Hedges provides hedge maintenance services to homes and businesses in the county of Kent. For the purposes of UK data protection law we are the data controller for the personal information described in this notice. Kent Hedges is a NordSys Limited company.

We handle personal information in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

What we collect

Almost all of the personal information we hold comes directly from you, either through the form on our contact page, by email, or over the telephone. The contact form asks for:

• Your name.
• The address and postcode of the property where the hedge is.
• A telephone number.
• An email address.
• Details of the job, which may include the type of hedge, its length and height, what you want done, and any photographs you choose to send us.

We ask for the address and postcode because a hedge quotation depends on where the hedge is and what is around it. We do not ask for, and do not want, payment card details, dates of birth, or any special category data. Please do not send us information of that kind through the form.

Why we are allowed to hold it, and what we do with it

We rely on two lawful bases under Article 6 of the UK GDPR.

Legitimate interests apply when you make an enquiry. You have asked us for a quotation, and we have a legitimate interest in reading your enquiry, assessing the hedge, preparing a price, and replying to you. We have considered your interests alongside ours and we are satisfied that responding to an enquiry you sent us is what you would reasonably expect. You can object to this at any time, and if you do, we will stop.

Performance of a contract applies once work is agreed. From that point we need your contact details, the property address and the job details in order to schedule the visit, attend, carry out the work, remind you of upcoming visits if you are on HedgeCare, invoice you, and deal with anything arising afterwards. Where we have to keep records for tax or accounting purposes, we do so to comply with a legal obligation.

We do not sell personal information, we do not share it with other businesses for their own marketing, and we do not add you to a mailing list because you asked for a quotation.

Photographs of hedges

---

We take photographs of hedges before and after we work on them. This is part of the Kent Hedge Standard: the record lets the next cut continue the last one rather than starting again, and it settles any question about the state of a hedge before we arrived.

Those photographs are kept as an internal work record, filed against the property. They are pictures of a hedge, not of people, and we ask our people not to photograph anyone who happens to be in the garden. We do not publish, post or otherwise use a photograph of your hedge or property outside that work record without asking you first and getting your permission. If you would prefer we did not photograph your hedge at all, tell us and we will note it on the file.

How long we keep it

Enquiries that do not lead to work are kept for up to twelve months and then deleted. Twelve months covers a full hedge cutting season, so that if you come back to us the following year we still know what we quoted and why.

Where work is carried out, we keep the job record, including the photographs, for as long as we are looking after the hedge and for six years after the last visit. Six years reflects the period in which a contractual claim could be brought and the retention required for accounting records. After that the record is deleted.

Third parties

We keep the number of third parties involved to the minimum needed to run the site and reply to you.

• Web hostingThis website is hosted by a third party web hosting provider. Their servers process the requests your browser makes and produce standard server logs, which include IP addresses, for security and diagnostic purposes.
• Email deliveryA transactional email provider handles the delivery of enquiry emails from the contact form to us, and our replies to you. The contents of your enquiry pass through that service in order to reach us.

Both act as processors on our instructions under a written agreement, and neither is permitted to use your information for its own purposes. Where a provider processes information outside the UK, that transfer is covered by the safeguards required under UK data protection law.

Cookies and analytics

This site sets no advertising cookies and no cross-site tracking cookies. We do not run advertising networks, retargeting pixels, social media trackers or profiling of any kind.

We may add a standard website analytics tag to measure how many people visit the site and which pages they read, so that we can see which of our guidance is useful. Analytics of that kind involves cookies or similar technology set by the analytics provider. Where we do add it, this notice will be updated to say so, and you will be able to decline non-essential cookies. Most browsers also allow you to block or delete cookies through their own settings.

Your rights

Under the UK GDPR you have the following rights over the personal information we hold about you.

• Access. You can ask for a copy of the personal information we hold about you.
• Rectification. You can ask us to correct information that is inaccurate, or to complete information that is incomplete.
• Erasure. You can ask us to delete your personal information where we no longer have a good reason to keep it.
• Restriction. You can ask us to pause our use of your information while a dispute about its accuracy or our grounds for holding it is resolved.
• Objection. You can object to our processing where we rely on legitimate interests.
• Portability. Where we hold information you gave us and process it by automated means, you can ask for it in a portable, machine-readable form.

Write to hello@kenthedges.co.uk and we will respond within one month. There is no charge for making a request. We may ask you to confirm your identity before we release information, so that we do not disclose your details to somebody else.

Complaints

If you are unhappy with how we have handled your personal information, please tell us first so that we have the chance to put it right. You also have the right to complain to the Information Commissioner's Office, the UK supervisory authority for data protection, at ico.org.uk. Complaining to us does not affect your right to complain to them.

Changes to this notice

We will update this notice if what we do with personal information changes, including if we add website analytics. The date at the top of the page shows when it was last revised.
